How to Record Variations Before Extra Metalwork Begins

Afnan Group editorial guides · 3 November 2026 · 2 min read

Extra work becomes difficult to manage when a verbal request is treated as a complete instruction. A variation record connects the requested change with its cost, programme effect and approval. The aim is not to create unnecessary paperwork; it is to give the client, supervisor and workshop the same understanding before additional work is started.

Describe the change precisely

Identify the project, original scope reference and the item affected. Explain what is changing, why the change has been requested and which drawing or site condition supports it. Use photographs where they help, but add dimensions or marked-up information when needed. Distinguish a correction to agreed work from a new client requirement so the discussion is based on an understandable record.

Assess the effect on the job

Ask the responsible parties to review the change before it reaches the workshop as an instruction. Material, finish, delivery and installation may all be affected, particularly where work has already been completed. Record the proposed price adjustment and any programme implications alongside the technical information. If the effect is not yet known, state that clearly rather than treating an incomplete estimate as a final agreement.

Keep approval linked to execution

Name the person authorised to approve the change and retain the written response with the variation record. Update drawings and job instructions where necessary. At completion, connect the finished item and supporting photographs to the approved change. This makes final account discussions clearer because the parties can see what was requested, what was approved and what was actually delivered.

Questions to bring to your project discussion

  • What original item or scope is changing?
  • Why is the additional work required?
  • What drawing or photograph explains the change?
  • Who approves the cost and programme effect?
  • Have workshop and site instructions been updated?

Your next step

Agree a change-control process at the start of the project. Afnan Group can discuss how metalwork changes will be priced and documented so production follows authorised instructions rather than disconnected messages or assumptions.

These general project-planning guides are not a project-specific engineering specification. Design suitability, applicable requirements and approvals must be established by the responsible project professionals. Afnan’s interior, architectural and parametric services are design only; metal works can be scoped for design and execution.
